Compensation: $60,000 to $65,000 per year

Job Summary

Balance daily settlement, reviewing all direct bill information, and timely invoicing of all direct bill accounts.

Essential Job Functions

The Hotel operates 24 hours a day and 7 days a week, so operational demands could require variations in shift days, starting times, and hours worked in a week.

Account Payable:

  • Manage the Accounts Payable PO tracker, including printing and coding invoices, entering them on the spreadsheet, and submitting the AP batch.
  • Ensure timely responses to vendors and maintain effective communication.
  • Review vendor statements monthly, ensuring receipt and processing of all invoices.
  • Establish online accounts and enable paperless billing for all vendors.
  • Complete credit applications as required.
  • Process Petty cash-issue and track.
  • Assist in reviewing expense accounts and adjust forecasts based on current performance.

Account Receivable:

  • Oversee and audit Accounts Receivable for accurate and timely recording, submission, and payment application, including reviewing H&B, OSTAT, and Deposit Due reports and reporting to the Controller.
  • Submit AR Aging report weekly.
  • Issue customer refunds using the payment collection system.
  • Post Wire Payments and checks as needed.
  • Reconcile AR accounts such as Hilton rewards, Gift Cards, Expedia.
  • Manage chargebacks and provide supporting documentation to the bank.
  • Manage group commissions, ensuring accurate and timely submission.

General:

  • Conduct daily Income Audit and resolve out-of-balance situations, involving credit card reconciliation, General Ledger balancing, counting daily cash drops, and generating reports.
  • Perform assigned month-end tasks, ensuring accuracy and timeliness in all assignments.
  • Assist with basic HR inquiries
  • Assist in the onboarding of new employees from start to finish
  • Assist with phone screen candidates for open positions
  • Fulfill any related duties as requested by the manager.

Knowledge, Skills & Abilities

  • At least 1 year of related accounting experience with hotel experience preferred.
  • Knowledge of accounting operations to include all aspects such as accounts payable, general cashiering, etc.
  • Basic mathematical skills and ability to operate a 10-key by touch.
  • Ability to effectively deal with guest and employee concerns in a friendly and positive manner. This involves listening to the nature of concern, demonstrating empathy with the customer and providing positive and proactive solutions.
  • Ability to access and accurately input information using a moderately complex computer.
  • Ability to read, write and speak English sufficient to understand and communicate with employees and guests. Must have excellent telephone etiquette skills.
  • Considerable knowledge of Microsoft Windows, MS Word, and MS Excel.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to work independently and as part of a team.
  • Ability to maintain moderately complex records and ensure their confidentiality.
  • Ability to work under pressure and to meet deadlines.

Physical Demands

  • Lifting up to 20 pounds maximum.
  • Occasional twisting, bending, stooping, reaching, standing, and walking.
  • 90% sitting / 10% walking
  • Frequent talking, hearing, seeing, and smiling.
