The Sales Coordinator is responsible for clerical, administrative, and operational tasks that support the smooth operation of Sales, Marketing, and Group/Event services. This role requires strong communication, organizational, and multitasking skills, along with a customer-focused mindset. The Sales Coordinator provides administrative and operational support across multiple DHM properties, and works with different PMS systems.
Position Responsibilities
- Maintain accurate and up-to-date sales records, contracts, and proposals.
- Prepare contracts, proposals, and reports for the sales team.
- Organize and maintain client databases and PMS systems (Delphi, Opera, and PEP).
- Respond promptly and professionally to client inquiries.
- Assist with site visits and client meetings and provide on-site support during events when needed.
- Coordinate client requests and ensure proper follow-up.
- Prepare and distribute group rooming lists.
- Support the sales team in meeting revenue goals by assisting with lead generation and contract processing.
- Assist, monitor and track group bookings, corporate accounts, and event reservations.
- Assist in budgeting and forecasting.
- Ensure all group and event details are properly documented and communicated to relevant departments.
- Coordinate banquet event orders (BEOs) and ensure execution aligns with client expectations.
- Perform other duties as requested by management.
- Demonstrate strong organizational and multitasking skills
- Excellent communication skills. Work collaboratively with sales managers, front office, and operations teams.
- Maintain a professional and positive attitude in all client and team interactions.
- Assist with the coordination of marketing activities as needed and directed by leadership.
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Experience managing/using CRM systems, Delphi, Outlook, Teams & PMS systems preferred.
Physical Demands
Frequent walking, standing, sitting, hearing, talking, smiling. Lifting, pushing, and pulling of objects weighing up to ten (10) pounds.
