Driftwood Hospitality Management is looking for a Purchasing Coordinator, which will be based out of our Palm Beach Gardens office. This is an hourly, full-time role, with great benefits (including hotel travel discounts!). Check out the job description below.
Purchasing Coordinator Job Description:
- Generate Purchase Orders for Capital Expenditures after approval received.
- Generate Purchase Orders for Miscellaneous Renovation Supplies after receipt from Purchasing Agents
- Generate Purchase Orders for HPA Consulting Fees for Project Managers and IT Personnel
- Review File Maker system for previous Purchase Orders to ensure best price/best vendor is being used before executing new Purchase Order
- Distribute Purchase Orders to venders, hotels and relevant staff members and Corporate Departments
- Communicate with hotel personnel and vendors to obtain any necessary paperwork to properly execute Purchase Orders and payments
- Ensure vendors confirm receipt of Purchase Orders and that delivery dates can be met
- Submit Requests for Quote (RFQs) as directed or needed to generate Purchase Orders
- Modify Purchase Orders to reflect freight charges, price changes etc.
- Send invoices received to General Managers or appropriate parties for approval, ensuring invoice matches the Purchase Order
- Keep File Maker Purchase Order notes and tracking current daily: to include expediting orders, ensuring they have been delivered as anticipated.
- Maintain File Maker data base to include updating Hotel, Receiver & Vendor information as needed and on an annual basis.
- Generate Open Purchase Order Reports for each property form the Purchase Order Tracking Spreadsheet and distribute to them
- Maintain the Deposit Log and submit to Mr. Buddemeyer and Accounting every two weeks.
- Control the Housekeeping Program for the Company placing Purchase Orders for all items needed and maintaining Room Attendant cart inventory in our two warehouses.
- Close Purchase Orders for an individual property when it is being sold or changing legal entity ownership
- Perform general administrative functions including typing, answering telephones, composing correspondence, communicating with hotels, Regional Managers and Corporate Office employees
- Assist Purchasing Agents with renovations as needed to include expediting, creation of Expediting Reports (ERs) and product selections
- Perform other duties as assigned.
